I take a photo of the label and the system tells me which warning seals it needs and which ingredient isn't allowed
A single record for every product at a Chilean supplements eCommerce: it reads the label with AI, applies the health regulations, prepares the filings with the authority and feeds both stores.
At a Chilean supplements eCommerce, every product has to comply with the Food Sanitary Regulation (RSA): nutrition table, "High in" seals, warnings, ingredients and permitted doses. And every import is filed with the SEREMI de Salud (the regional health authority), which can flag labels and request corrections.
That information lived scattered across spreadsheets, manufacturer PDFs, emails and descriptions that each store kept on its own. Making a label was manual and error-prone, and the same remark from the authority came up import after import, because nobody had at hand what had been corrected before.
So I built a single product record: one source of truth for the label, the features, the descriptions, the images and the regulatory history, which also feeds both stores.
One record, many destinations
Each product has a record with seven tabs: label, features, descriptions, images, amino acid profile, lab analysis and regulatory history. Whatever is saved reaches the stores on its own. And so you don't start from zero, the record is filled by reading the manufacturer's label.
A five-step wizard guides the creation: general information (the ERP SKU preloads weight, dimensions and barcode), nutrition table (per 100 g or per serving, the other is calculated automatically), ingredients and allergens, the original label and a final preview. You can also paste the label's Excel spreadsheet.
The rules the record applies on its own
"High in" seals
With the nutrition table, the record calculates the seals according to the RSA limits per 100 g or 100 ml: calories, sodium, sugars and saturated fat.
The detail that prevents the most confusion: products described as food for athletes or dietary supplement are exempt from seals, so changing the descriptor can make them appear or disappear. If one still applies, it's added by hand.
Warnings and the Codex standard
- Warning: sets itself according to the descriptor, and the record warns you if it doesn't match.
- Codex status: compliant, exceeds allowed dose or prohibited ingredient, calculated from the ingredients and the dose per serving.
- Shared descriptors: a new label becomes available to the whole team.
The rest of the record
- Preview in three label sizes, with PDF download and the dimensions of two marketplaces.
- Features: pulled from the ERP without overwriting what was written by hand, and each piece of data says whether it came from the ERP, a person or the AI. The country of origin is never deduced by AI.
- Descriptions: one for the retail store and another for the wholesale one, which the AI writes or improves, showing the proposal next to the current one.
- Images, amino acid profile and lab: organized photos, an amino acid table (also read with AI) and analyses that are published on the web.
Regulatory filings, in order
A UYD (Uso y Disposición) groups the labels of an import that are filed with the SEREMI. The record builds them, downloads them and tracks their status.
A UYD can't be approved without uploading the signed resolution. The system also keeps all the online filings with the authority, with each remark grouped by round, and syncs only twice per business day. Before filing a product, you just open its history so you don't repeat the previous time's remark.
A model that matches names
The authority writes names its own way, in capitals and abbreviated. A matching model decides which record each name corresponds to, using the filings already approved.
What a person confirms applies to every filing with that name, and the sync never changes it.
The day-to-day work
- Catalog: quick filters (Codex alerts, seals, allergens, sweeteners, recent), search, alert badges, duplicating records and bulk download of up to 20 labels.
- Pending: the ERP products that don't have a record yet, with a button to create it with everything preloaded.
- Discontinue: removes discontinued products from the catalog without deleting anything.
- Search terms: every early morning the AI proposes keywords, a person approves them and they reach the stores that same night.
- Roles: admin, user (edits their own) and reader (only views and downloads).
What the business gained
- A single record per product, which feeds both stores without copy and paste.
- Labels that apply seals, warnings and Codex on their own, and warn you before the error reaches the authority.
- The complete memory of every regulatory filing, product by product.
